Reviewing and Exporting Proofing Submissions

Reviewing and Exporting Proofing Submissions

You can review client selections, submission messages, and proofing status from the gallery editor in WordPress.

Review a gallery

Go to ShutterPress Gallery → All Galleries, edit the gallery, and find the Proofing panel.

The panel contains:

  • Proofing Status — whether the recorded choices are submitted and locked, with Lock or Unlock controls and Reset all choices for administrators who can edit the gallery.
  • Selection Progress — the number of chosen images and the required total, if one is set.
  • Submission Messages — the user, date, and message recorded for submissions.
  • User Selections Table — image thumbnails, image IDs, filenames, and Yes/Maybe/No statuses.

Saved selections can appear before the client submits. Check Proofing Status before treating them as final.

Proofing status and selection progress are shown even before choices are made. The selections table reports that no proofing selections have been found when it is empty. Previous submission messages remain visible after a reset even though the choices have been cleared.

Copy the chosen filenames

Click Copy Chosen Filenames below the selections table to copy the names of images marked Yes.

The copied list is separated by commas and omits file extensions. For example, portrait-001.jpg and portrait-004.jpg are copied as portrait-001,portrait-004.

Use the list to locate the chosen images in your editing workflow. Maybe and No images are excluded from this copied list.

Export a CSV

Click Download CSV below the selections table to export the gallery’s recorded proofing choices.

The file contains the user ID, user name, user email, image ID, image title, filename, and status. It includes recorded Yes, Maybe, and No choices, so filter the status column to yes if you only need the chosen images.

CSV export is available to WordPress administrators. The export contains saved choices and is not limited to final submissions; check the gallery’s proofing status separately.

Allow a client to revise a submission

  1. Find the client’s entry under Proofing Status.
  2. Click Unlock.
  3. Ask the client to refresh the gallery, revise their choices, and submit again.

Unlocking preserves the saved choices and submission message history. It allows the client to continue from their existing selections.

You can also use Lock to prevent further changes manually. This is a manual lock; it does not send the client’s submission notification emails.

Reset all choices for a gallery

Use Reset all choices when you want to clear the gallery’s proofing decisions and start a new round of selections.

  1. Open the gallery editor as a WordPress administrator who has permission to edit the gallery.
  2. In the Proofing panel, find Proofing Status.
  3. If you need a record of the existing choices, use Download CSV before resetting.
  4. Click Reset all choices and confirm the prompt.
  5. Ask the assigned Proofing User to refresh the gallery before making new selections.

Resetting clears every user’s Yes, Maybe, and No choices for this gallery and removes its proofing locks. Previous submission messages and their dates are kept. Other galleries, the gallery images, the assigned Proofing User, and the configured selection requirement are unaffected.

The reset action has no undo control. Retained submission messages do not restore the cleared image choices, so export the choices first if you need to keep them. Resetting does not send the submission notification emails.

Check notification emails

When the client confirms a submission, ShutterPress sends a notification to the WordPress administration email address configured under Settings → General. It includes the gallery details, submitting user, submission time, message, and recorded choices.

The client receives a separate email only if the gallery has a User confirmation email template selected. This email uses the address on the client’s WordPress account.

If a notification is missing, check the gallery’s proofing status and submission messages first. Then check the recipient address, spam folder, selected confirmation template, and your site’s email delivery setup.

Common questions

Why can’t the client see proofing controls?

Confirm that Gallery Proofing is enabled and saved, a Proofing User is assigned, and the client is logged in to that exact account. If gallery access is restricted, check that the client also has permission to view it.

Why can’t the client submit?

Check whether their submission is already locked and whether they have reached the required number of Yes choices.

Why can’t the client select another Yes image?

They may have reached Number of Selections. They can remove an existing Yes choice or change it to Maybe or No before choosing another image.

Why are old submission messages still visible after resetting?

Reset all choices deliberately preserves previous submission messages. Those messages are a record of earlier submissions; they do not mean that the current choices have been submitted again.

Why can an administrator view the gallery but not make proofing choices?

Proofing choices are restricted to the assigned Proofing User. Administrator access to view the gallery does not make that account the Proofing User.
