ShutterPress Gallery Pro lets you create reusable PDF templates and generate documents for individual galleries. Use them for price lists, image usage information, or instructions to include with a gallery download.
A template contains the document’s content. Creating a gallery PDF saves a separate file using that template and your current business and PDF settings.
Create a PDF template
- Go to ShutterPress → PDF Templates.
- Add a new template.
- Enter a title. This appears as the heading inside the PDF and forms part of its filename.
- Write the document in the content editor.
- Add business placeholders where needed.
- Optionally set a featured image to include in the document.
- Click Publish.
Keep formatting simple and preview the result before sharing it. PDF formatting may differ from the WordPress editor.
Add your business details
Complete your details under ShutterPress → Settings → Business Settings.
You can insert these placeholders into the PDF template’s content:
| Placeholder | What it contains |
|---|---|
{{business_name}} | Business name. |
{{business_address_1}} | First address line. |
{{business_address_2}} | Second address line. |
{{business_city}} | City. |
{{business_state}} | State or region. |
{{business_zip}} | Postcode or ZIP code. |
{{business_country}} | Country. |
{{business_phone}} | Phone number. |
{{business_website}} | Website address. |
Use the placeholders exactly as shown, including both pairs of braces. Missing values and unsupported placeholders are removed.
Generated gallery PDFs currently populate these business placeholders. Recipient names, proofing choices, and gallery links or passwords are not populated by the gallery PDF generator.
Set the PDF appearance
Go to ShutterPress → Settings → PDF Settings.
| Setting | Options |
|---|---|
| Page Size | A4 or US Letter. |
| Font Size | 8–72 points. |
| Font Family | Helvetica, Times, or Courier. |
The defaults are A4, 12 points, and Helvetica. Documents are generated in portrait orientation.
Save your settings before generating or testing a PDF.
Preview a template
Save the template, then click Generate Test PDF on its edit screen.
The preview opens in a new browser tab and uses the saved template, business details, and PDF settings. Check the heading, images, spacing, and page breaks.
If the preview does not open, check whether your browser blocked the new tab.
Generating a test PDF does not add a PDF file to a gallery.
Create a gallery PDF
- Open and save the gallery.
- Find the PDF Files panel.
- Choose a PDF template.
- Click Create PDF.
- Find the generated document under File List.
- Use its download icon to check the saved PDF.
The filename combines the gallery title and template title, for example:
Wedding-Gallery-Price-List.pdf
ShutterPress will not overwrite an existing PDF with the same filename.
Include PDFs in gallery ZIP downloads
In the gallery’s PDF Files → File List, use the selection control beside each document to choose whether it is included in the gallery ZIP.
A tick means the file is selected. A cross means it is excluded.
Choose your PDFs before creating the ZIP. After changing the selection or replacing a PDF, update or recreate the ZIP and check its contents. An existing ZIP does not change automatically when you edit a PDF template.
Update an existing gallery PDF
Changing a template, business details, or PDF appearance settings does not update PDFs already generated.
To replace a document:
- Save your template and settings changes.
- Download a copy of the existing PDF if you need to keep it.
- Use the trash icon in the gallery’s PDF file list to delete the old file.
- Generate the PDF again.
- Select the replacement for ZIP inclusion if required.
- Update or recreate the gallery ZIP.
The trash action permanently deletes the generated PDF and its media attachment. It does not delete the template.
Troubleshooting
Template unavailable: Check that it is published and reload the gallery editor. The current plugin has a selector issue that can show only one published PDF template.
“A PDF with this name already exists”: Download and delete the previous generated file before creating its replacement.
Business details missing: Check Business Settings and the exact placeholder spelling, then regenerate the PDF.
PDF still shows old content: Save the template, then replace the generated gallery PDF. Updating the template alone does not change saved files.
PDF missing from a ZIP: Check that it is selected in the gallery’s PDF file list, then update or recreate the ZIP.
