Email Templates and Gallery Emails

Email Templates and Gallery Emails

ShutterPress Gallery Pro lets you create reusable email templates and send personalised gallery emails from the gallery editor. You can use these to share gallery links, provide passwords, or send reminders.

Create an email template

  1. Go to ShutterPress → Email Templates.
  2. Add a new template.
  3. Enter a title. This becomes the email subject.
  4. Write your message in the content editor.
  5. Add any placeholders you need.
  6. Click Publish.

Only published templates appear in the gallery’s template selector. To change an existing template, edit it and click Update.

Placeholders are replaced in the message body. The template title is used as the subject without placeholder replacement.

Personalise your message

Use placeholders exactly as shown, including both pairs of braces.

PlaceholderValue in a manually sent gallery email
{{first_name}}Selected user’s first name.
{{last_name}}Selected user’s last name.
{{username}}Selected user’s WordPress username.
{{gallery_link}}Clickable link to the gallery.
{{gallery_password}}Gallery password, if one is set.
{{your_name}}Display name of the WordPress user sending the gallery email.
{{business_name}}Business name from your ShutterPress Business Settings.

Names and usernames are available when you select registered users. When you type an email address manually, those recipient placeholders are blank.

Unavailable or unsupported placeholders are removed from the message. Use a general greeting such as “Hello” when sending to manually entered addresses.

The gallery link placeholder creates its own clickable link, so you can insert it directly into the message.

Test a template

Save your template, then click Send Test Email on its edit screen.

The test goes to the email address of your currently signed-in WordPress account, with the subject Email Test.

Test emails check the saved message’s formatting and email delivery. They do not supply gallery details or recipient names, so those placeholders will be blank.

To check a fully populated gallery message, send it from a gallery to a test user you control.

Send a gallery email

  1. Open the gallery you want to share.
  2. Save any changes to its password or access settings.
  3. Find the Emails panel.
  4. Select Email template to use.
  5. Enter addresses under Email Addresses, separated by commas, and/or select recipients under Users to Email.
  6. Click Send Emails.

The Users to Email list contains users authorised for that gallery. Save changes to authorised users and reload the editor if the list needs refreshing.

Each recipient receives a separate email. Avoid entering the same recipient manually and selecting their user account, as this can send duplicate messages.

Sending an email does not grant gallery access. For a private gallery, authorise the recipient separately. For a password-protected gallery, include the password if you want the recipient to have it.

Publishing or updating a gallery does not send these manual gallery emails; use Send Emails when you are ready.

Add a shared email footer

Go to ShutterPress → Settings → Email Settings and edit Email Footer (HTML), then save your settings.

The footer is appended to emails sent through ShutterPress’s template system. Use it for a signature, contact details, or business links.

Write the footer’s details directly: template placeholders are replaced before the footer is appended, so placeholders in the footer are not processed.

Proofing confirmation emails

In a gallery’s Proofing panel, choose a User confirmation email template to send a confirmation when the proofing user submits their choices.

Alongside recipient details and the gallery link, proofing confirmation templates support:

PlaceholderWhat it contains
{{gallery_name}}Gallery title.
{{gallery_id}}Gallery ID.
{{submitted_at}}Submission date and time.
{{proofing_message}}User’s submission message, or “(No message)”.
{{proofing_choices}}Submitted image IDs, filenames, and choice statuses.

These additional placeholders are populated for proofing confirmations, rather than manually sent gallery emails.

Troubleshooting

Template missing from the selector: Check that it is published, then reload the gallery editor.

Recipient missing from Users to Email: Check that they are authorised for the gallery, save it, and reload the editor.

Names missing from the message: Select the registered user instead of typing their address, and check that their WordPress profile contains their name.

Email reports success but does not arrive: Check the recipient address, spam folder, and your WordPress email delivery setup. A successful send response does not confirm inbox delivery.

Some recipients did not receive the email: Check delivery before sending again. A failed batch can still have sent successfully to other recipients.
